Accommodation and Invoicing: Source Records and Verification — Working Draft
Working draft. Read alongside Accommodation Records: Booking and Invoice Verification and the 32-entry evidence index.
Documentary Analysis · Verification Protocol & Evidence Sequence
An essential discipline in forensic document analysis is maintaining a strict boundary between what a primary source explicitly records, what an author reports, and what remains subject to independent verification.
Document Reference: Glenelg Motel Confirmation
Established Record: Confirms a reservation booking for the period 17–22 April 2026.
While the reservation confirmation establishes that a booking was created for those dates, it does not, on its own face, resolve critical downstream evidentiary questions.
- Financial Settlement: Which entity or account ultimately remitted payment for the stay?
- Physical Occupancy: Was every registered night occupied by the named party?
- Authorisation Chain: Who approved the accommodation expenditure and under what delegate authority?
Invoicing Discipline & Audit Standard
The same rigorous evidentiary standard applies to invoicing and administrative billing entries.
An invoice date is the date displayed on the invoice. It does not by itself establish when a line was entered, when the service occurred, or when a claim was submitted or paid. It does not automatically constitute evidence of an improper, phantom, or ghost charge without supporting cross-analysis against service delivery logs and transaction records.
To ensure accuracy and prevent premature conclusions, all claims regarding billing discrepancies must be cross-referenced against core verification logs, bank statements, and statutory disclosure files.
